Imap to Exchange Migration Tips and Tricks

Exchange 2003
enables information workers to gain access to critical business communications almost whenever and wherever they need to and is designed to deliver greater security, availability, and reliability. Exchange 2003 sets a new benchmark for low total cost of ownership (TCO) by helping your information technology (IT) staff to do more with less through improved management tools.

If you're in an Exchange Server 5.5 environment, Exchange 2003 offers large costs savings by operating on fewer servers. With new resources and tools, the upgrade and migration to Exchange 2003 is smooth, fast, and cost-effective.

 

Outlook 2003 IMAP

Outlook 2003 has several modes. Normally we use Microsoft Exchange Server. But if you prefer to use IMAP mode you can do that. IMAP would be the appropriate choice for people who's computers are not in the SLAC network (e.g. at home or another institution).

First you'll need an Exchange server account. If you don't already have one then send an email to mail-admin to request an account.

  • SLAC's Exchange mail service is now distributed across several different servers. Determine the name of the specific server where your account is located from the Email Server Names page. You will need to substitute this server name for exchange in the examples below.
  • Start Outlook 2003 and select IMAP on the E-mail Accounts page:
  • In the next screen you'll enter your name, server, and logon information. Be sure to place your particular exchange server name in place of 'exchange' in the IMAP Server box. When done here press the More Settings... button
  • Press the Advanced tab and place a check mark in the IMAP SSL box. The port will change to 993. Then press OK
  • Now press Finish and you can Start Outlook 2003 for the first time.
  • You'll only see the Inbox displayed initially. You add all your other folders by right clicking on your Exchange Inbox and selecting IMAP Folders. Uncheck the "show only subscribed folders" box in the window shown here:
  • Press OK and you should then see several other folders show up.
  • Initially there will be no messages in any folder but as you select a folder the messages will be displayed.
  • If you have a Unix account you should set up forwarding.
  • Finally, you should verify your Mailrouter address is correct. You can check it here and if it does not say it is sending your email to exchange server then contact mail-admin.
Exchange Migration plan for moving forward:
 
  1. Perform Due Diligence on your network via Remote Terminal Service ( Next Week)
  2. Identify existing components - users, groups, login variables
  3. Document proposed AD structure
  4. Project kickoff meeting (Friday)
  5. Install Windows Server 2003 (Friday Night)
  6. Install Active Directory (Friday Night)
  7. Configure, Patch and Connect (Friday Night)
  8. Review Event Log, resolve any errors (Friday Night)
  9. Connect AD environment to existing Windows 2000 (Friday Night)
  10. Identify existing printers (Saturday)
  11. Identify existing components in Exchange (Saturday)
  12. Build Exchange, configure, patch(Saturday)
  13. Install and configure virus software,Spam solution and Fax Software(Saturday)
  14. Configure OWA in DMZ(Saturday)
  15. Verify Installation (Saturday)
  16. Perform Mailbox Move (Saturday)
  17. Install Outlook 2003 on all desktops. (Saturday - Sunday)
  18. Review Event Log, resolve any errors (Sunday) 
  19. Setup Test workstation/perform testing (Sunday)
  20. On-Site to handle any issues with the migration (Monday)
The above steps are only an estimate of work needed to be perform a successful migration. After we perform the Due Diligence Intercore will have a more definite outline in MS Project to fully detail the breadth of work needed to perform the migration . This Due Diligence will identify issues that we can resolve before the migration is performed.
